OF

KISII UNIVERSITY COLLEGE


DRAMA GROUP




PREAMBLE
We members of Kisii University College Drama Group, while striving to fight moral ills in the society, entertain and enlighten the society through the activities of the group, hereby ordain this constitution for Kisii University College.
While nurturing talent do assert that there shall be the Kisii University College Drama Group herein referred to as K.U.C.D.G advance the interest of members according to provisions of this constitution.







CHAPTER 1
1.   BIODATA
1:1       NAME.
The name of the group shall be Kisii University College Drama Group, abbreviated as KUCDG.

1:2      MOTTO:

DREAMS AND AMBITIONS.



1:3     VISION:
TO BE THE LEADING UNIVERSITY DRAMA GROUP REKNOWN FOR THEATRE WORKS.


1:4     MISSION: 
HARNESTING INDIVIDUAL TALENTS AND BRINGING THEM TOGETHER TO CREATE ENTERTAINMENT.


There shall be a logo, which will be used for official purposes. The drama group headquarters shall be at KUC main campus and shall have the following contacts:

KUCDG shall be registered in the office of the Dean of Students. It is a group whose aims are non-political, non-denominational and non-tribal.

1:5 AIMS AND OBJECTIVES:
The aims and objectives of the group include:
  1. Tapping talents,
  2. Entertainment,
  3. Fighting moral ills in the society,
  4. Enlighten the society,
  5. Giving back to the society through social activities,
  6. To revive and promote the local culture and traditions e.g. traditional dances, music, arts and lifestyle.
  7. To bridge the gap between tradition and modernity.
  8. Representing Kisii University College in drama events e.g. drama festivals.


1:6 ACTIVITIES.
 The main activities of the group include:
  1. Script writing,
  2. Acting,
  3. Narrating,
  4. Reciting poems,
  5. Singing and dancing,
  6. Social activities e.g. visiting children’s homes.
                                    CHAPTER 2
MEMBERSHIP.
There shall be three categories of memberships.
  1. Full membership
  2. Associate members
  3. Special membership

2:1:1 FULL MEMBERSHIP.
a.                   Full membership of KUCDG shall be open to all members of KUC.
b.                  One shall be a full member upon payment of a non- refundable registration fee and a renewal fee every semester which is decided by the office.

2:1: 2 ASSOCIATE MEMBERSHIP
  1. Associate membership shall be open to former students of KUC.
  2. Associate members shall have all other right

2:1:3   SPECIAL MEMBERSHIP
  1. Special membership of KUCDG shall be open to all members of the public, who are neither students of KUC nor associate members.

2:1:4 DISQUALIFICATION OF MEMBERSHIP
a.       One shall cease to be a member when he/she fails to pay the renewal fee for two consecutive semesters, or
b.      Fails to apply for associate membership upon completion of studies at KUC.
c.       Is disqualified by the disciplinary committee

2:2:1   MEMBERS’ RIGHTS AND RESPONSIBILITIES
Full members shall be:
1. Eligible to hold office and participate in the elections of officials of KUCDG.
2. Entitled to attend and vote in any general meeting.
3. Eligible to propose amendment to this constitution.
4. Entitled to pass a vote of no confidence to the entire or a member of the executive committee.
5. Entitled to access the financial records.
6. Entitled to attend Annual General Meeting.
7. Entitled to attend all the social activities held by the KUCDG.
8. Entitled to get a certificate after completion of studies.

2:2:2 RESPONSIBILITIES
A full member shall;
1. Participate in social and group activities
2. Have the duty to vote.
3. Support the group in financial suggestions
4. Participate in any committee when called upon.
5.  Obey the executive committee.



2:3:1 RIGHTS OF AN ASSOCIATE MEMBER.
He/she shall have all the rights and duties as stated above except that he/she shall not:
1. Have voting rights
2. Hold any position in office
3. Access any financial records
4. Be eligible to propose amendment to this constitution.
5. Have right to pass a vote of no confidence to the entire or a member of the Executive Committee.
6. Get a certificate upon completion of studies.





CHAPTER 3
GOVERNANCE

The Executive Committee of KUCDG shall consist of:
  1. Chairperson
  2. Vice Chairperson
  3. Secretary General
  4. Financial Controller
  5. Organizing Secretary
  6. Publicity Secretary.

3:1   QUALIFICATIONS OF THE EXECUTIVE COMMITTEE
  1. Must be a fully paid up full member.
  2. Must be actively committed to the activities of KUCDG
  3. The chairperson should not be a holder of office in more than two other groups.
  4. Shall not be in the final year of their studies.

3:2 DUTIES OF THE EXECUTIVE COMMITTEE MEMBERS

3:2:1 CHAIRPERSON
  1. To call/summon and preside over group activities and functions. E.g. seminars, conferences and group meetings.
  2. Liaising with the Executive Committee members in formulating strategic policies of the group.
  3. To oversee the group activities and policy implementation at all times.
  4. Liaising with the administration and executive members in matters pertaining to group activities.
  5. Approving all activities taken up by the group.
  6. Inspiring the executive and members regarding the group’s vision and mission.
  7. Signatory of all bank statements account to the group.
  8. He/she shall delegate duties to sub-committees after consulting the Executive Committee.
  9. He/she shall make special announcements where clarification is needed.
  10. He/she shall delegate duties of any empty office of the Executive Committee.

3:2:2 VICE CHAIRPERSON.
  1. He/she shall be in charge of discipline for the group.
  2. He/she shall deputize the chairperson.
  3. He/she shall constitute and chair the disciplinary committee (if any).
  4. He/she shall be a member of any sub-committee.
  5. He/she shall take the responsibilities of the chairperson in case of the chairperson’s incapability until such a time when the committee sits to elect and elects a new chairperson. This shall be done within 21 days of the chairperson’s departure.
  6. He/she shall undertake any other duty prescribed by the chair.



3:2:3 SECRETARY GENERAL
  1. He/she shall take down any minutes discussed in meetings.
  2. He/she shall keep all the group records for reference.
  3. He/she shall be a signatory to the bank accounts of the group.
  4. He/she shall be the spokesperson of the group during conferences.
  5. He/she shall write all the formal letters that may be needed by the administration.
  6. He/she shall undertake any duties assigned by the chairperson.
  7. He/she shall be responsible for the registration of members.

3:2:4 FINANCIAL CONTROLLER
  1. He/she shall be a mandatory signatory of the KUCDG bank account and all financial transactions.
  2. He/she shall collect and deposit the group’s funds.
  3. He/she shall be the custodian of the group’s assets.
  4. He/she shall ensure proper use of group’s funds.
  5. He/she shall be the chief financial advisor of the committee.


3:2:5 ORGANIZING SECRETARY.
  1. He/she shall interlink the Executive Committee and the members.
  2. He/she shall coordinate and organize all the group activities and events.
  3. He/she shall advise the executive and members on long term project of the group.
  4. He/she shall execute any other duties assigned to him/her by the committee.
  5. He/she shall head the organizing committee (if any).
  6. He/she shall liaise with the executive during appointment of the organizing committee.



3:2:6 PUBLICITY SECRETARY.
  1. He/she shall put all the notices
  2. He/she shall publicize all the KUCDG’s activities.
  3. He/she shall do any duties assigned by the chairperson.

3:3   SUBCOMMITTEES
Members shall be appointed by the Executive Committee.
Duties and responsibilities shall be as assigned by the Executive Committee.



CHAPTER 4
ELECTIONS
Notice should be given at least seven days before the election.
Voting shall be done before the fourth week of the first semester every academic year.

4:1 RULES GOVERNING THE ELECTIONS.
  1. One full member should cast only one vote.
  2. Only full members are allowed to vote.
  3. Election should be held before the fourth week of first semester.
  4. Elections shall be conducted through secret ballot.

4:2 BY-ELECTIONS
A by-election may be held on the happening of the following:
  1. Where at least 2/3 of the full members in a special general meeting pass a vote of no confidence in the entire Executive Committee or a member of the Executive Committee other than the chairperson.
  2. Where the Executive Committee (acting as a majority) asks its members to vacate owing to evident inability to perform the duties of that office.
  3. In event of (a) and (b), by-elections shall be held immediately and shall be presided over by an independent person(s). The members shall appoint persons and the nominee with the highest votes shall take office unless otherwise incapacitated.
  4. Where the chairperson resigns or attracts a vote of no confidence from the Executive Committee or at least 2/3 of members of the special general meeting, then three persons shall be nominated from the Executive Committee which shall after a careful consideration select one.
  5. In case of (d) above, the Executive Committee shall be given power to co-opt a member to hold the post affected.


4:3  VOTE OF NO CONFIDENCE.
Any full member is acceptable to make a move of proposing a vote of no confidence to the patron. If supported by the patron, the patron shall compel the executive to convey a special general meeting for the purpose of making such moves in a period of seven days of such a resolution.

4:4   ELECTORAL COMMITTEE
The Electoral Committee shall comprise of
  1. One representative from each class, chosen by the members of the class.
  2. At most three fourth years in the outgoing Executive Committee or who may have served in the Executive Committee.




CHAPTER 5

MEETINGS

There shall be three types of meetings;
  1. Regular meetings
  2. General meetings
  3. Special meetings.

5:1 REGULAR MEETINGS
These meetings should be at the call of the Executive Committee.
The Executive Committee shall meet at least once per month;
Sub-committees shall meet at their convenience.

 5:2 GENERAL MEETINGS.
Annual General Meetings shall be held before the fourth week of the first semester every academic year.
Only full members shall have the right to participate in general meetings.
There shall be:
  1. Confirmation of minutes of previous AGM.
  2. Consideration of accounts.
  3. Election of Executive Committee
  4. Such other matters as the Executive Committee may decide or as to which notice shall have been given in writing by a member or members to the secretary at least three weeks before the date of meeting.
  5. Any other business with the approval of the chairperson.

5:3 SPECIAL GENERAL MEETINGS.
A special general meeting may be called for any specific purpose by the committee. Notice in writing of such a meeting shall be sent to all members not less than 3 days before the date thereof and where applicable, by advertisement not less than 3 days before the date of such meeting.

A special general meeting may also be requisitioned for a specific purpose by order in writing to the secretary of not less than 10 members and such meetings shall be held within 7 days of the date of the requisition. Notice in writing of such meeting shall be sent to all members not less than 3 days before the date thereof and where applicable, by advertisement not less than 3 days before the date of such meeting.
No matter shall be discussed other than that stated in the requisition.

Quorum for general meetings shall be not less than 10 members of the registered members of the group.


5:4 PROCEDURE AT MEETINGS
At all meetings of the group, the chairperson, or in his absence, the vice chairperson, or in the absence of both of these offices, a member selected by the meeting shall take the chair.
The chairperson may at his/her discretion limit the number of persons permitted to speak in favor of or against a motion.
Resolutions shall be decided by simple voting by a show of hands. In the case of equality of votes, the chairperson shall have a second or casting vote.


CHAPTER 6

FINANCES
6:1 SOURCES
  1. Registration fees
  2. Renewal fees
  3. Pledges and donations
  4. Finance generating activities.

6:2 FINANCIAL RULES
All financial transactions shall be entered or recorded in the financial records immediately they are incurred.
Signatories include;
  1. Chairperson,
  2. Secretary General
  3. Financial Controller.


6:3 INSPECTION OF ACCOUNTS AND LISTS OF MEMBERS.
The books of accounts and all documents relating thereof and a list of KUCDG members shall be available for inspection at the registration office of KUCDG by any officer or member of KUCDG giving not less than seven days’ notice in writing to the Executive Committee through the secretary.





CHAPTER 7
APPOINTMENT OF A PATRON.

7:1  NOMINATIONS
  1. Shall be nominated by the Executive Committee and approved by the members in the AGM.
  2. Shall serve the union for a period of two years subject to renewal.

7:2  DISQUALIFICATION
  1. Shall be disqualified by a vote of no confidence passed by 2/3 of the members present, i.e. when he/she becomes of a questionable character.



 

CHAPTER 8


AMMENDMENTS TO THE CONSTITUTION
Amendments to the constitution of the group must be approved by at least 2/3 majority of members at a general meeting of the group. They cannot however, be implemented without the consent in writing of the Dean of students, obtained upon application to him/ her made in writing and signed by three of the office bearers.
